Managing Todos

Creating todos is only half the picture. The real value comes from working through them — checking items off, keeping the list current, and staying focused on what matters. Here is how to manage your todos day to day.

When you have addressed a task, mark it as complete.

To complete a todo:

  1. Find the todo in the todos widget in the activity panel
  2. Click the checkbox next to the todo
  3. The todo is marked as complete with a visual strikethrough

That is it. One click and the task is done.

To un-complete a todo:

If you marked something complete by accident or need to reopen it, click the checkbox again. The todo returns to its active state.

Completed todos do not disappear immediately. They stay in the list (marked as done) so you can see your progress. Use filters to hide them when you want a clean view of outstanding work.

You can change any part of a todo after it has been created.

To edit a todo:

  1. Click on the todo in the todos widget to open it
  2. Edit the description text directly
  3. Change the due date, assignee, or linked track as needed
  4. Changes save automatically

Common reasons to edit a todo:

  • Adding more detail to a description after getting clarification
  • Pushing a due date forward when priorities shift
  • Reassigning a task to a different collaborator
  • Linking a general todo to a specific track once you know which song it applies to

See Todo Properties for details on each property you can change.

Sometimes a todo is no longer relevant — the track got scrapped, the feedback was withdrawn, or you just do not need the task anymore.

To delete a todo:

  1. Find the todo in the todos widget
  2. Click the delete option in the todo’s action menu
  3. Confirm the deletion

Deleted todos are permanently removed. If you are not sure whether a task is still needed, mark it complete instead of deleting it. You can always filter out completed items from your view.

As your list grows, filtering helps you focus on what matters right now.

Switch between these views in the todos widget:

  • Active — Shows only incomplete todos. This is your working view — what still needs to be done.
  • Completed — Shows only finished todos. Useful for reviewing what you have accomplished or double-checking that nothing was marked done prematurely.
  • All — Shows everything, both active and completed. Good for a full overview.

When you select a track in the grid, the todos widget automatically shows todos linked to that track. Deselect all tracks to see your full todo list.

This makes it easy to focus on one song at a time. Select the track you are about to work on, check its todos, and you know exactly what needs attention.

You can sort your todos to control the order they appear in:

Sorts todos so the most urgent ones (nearest due date) appear first. Overdue items rise to the top. Todos without due dates appear at the bottom.

This is the most useful sort when you are working against deadlines and need to prioritise by time.

Sorts todos in the order they were created, newest first (or oldest first). This is useful when you want to work through feedback in the order it was received.

Select your preferred sort from the sort control in the todos widget toolbar.

Here is a practical approach to managing your todos:

  1. Open the todos widget and switch to Active filter
  2. Sort by due date to see what is most pressing
  3. Select the track you plan to work on to see its specific todos
  4. Scan the list and mentally prioritise
  1. Work on a task
  2. Check it off when done
  3. Move to the next one
  4. If a new task comes up while working, create a quick todo so you do not forget it
  1. Review what you completed — switch to Completed filter to see today’s progress
  2. Check for any new comments that need to become todos
  3. Update due dates on remaining items if priorities changed
  4. Clean up by deleting any todos that are no longer relevant
  • Do not let the list get stale. Review it at least once a week and remove anything outdated.
  • Completed items are history, not clutter. Keep them around for a few days to track progress, then delete or let them naturally age out of your view.
  • Use the track filter aggressively. When you are mixing one song, you do not need to see todos for other songs. Select the track and focus.
  • Due dates are optional but powerful. Even rough deadlines (“by Friday”) help you prioritise when the list gets long.
